Set your refund policy within the MagnaPass platform and let the system handle them for you automatically!
Control if, when, and how clients should be refunded when a booking is cancelled.
Currently, no refunds are issued automatically (including passes or membership quotas). So if you wish for your clients to receive their money and/or pass back if their booking is cancelled, make sure you set your refund policy as soon as possible.
Get started by logging into your MagnaPass account dashboard, then select the 'Refund policy' tab in your 'My account' section. Here you can configure your refund policy. More information is provided below.
Configuring your refund policy
Step 1: Enable automatic refunds
The first step is ticking the box to enable refunds before moving on.
This will prepare the system to process refunds for you automatically according to the other details you'll set below.
Step 2: Set the refund cut-off limit
This allows you to set what the cut-off point is for issuing a refund automatically. You can set this point in minutes, hours or days before the session start time.
For example: If you wish to allow automatic refunds when a booking is cancelled more than an hour before the start time, you'd enter "1" into the first field, then set the second field to "hour" using the drop down option.
In the above example, if you or the client cancel the booking more than one hour before the start time, the refund would be issued automatically. If the booking is cancelled after this point (e.g. 20 minutes before the start time) a refund will not be issued automatically.
Step 3: Choose to refund money, passes, or both
You have the option to refund money (e.g. card payments) and/or passes (e.g. from a package or membership). Simply tick the relevant box(es) that apply to your desired refund policy.
If you don't currently have your refund policy set up in your account, the payments/passes will be retained and not refunded back to the client.
Note: You will always have the ability to issue manual refunds via Stripe and/or issue additional passes to clients if you ever need to.
Step 4: Don't forget to save the changes
Once you've set all of the above to your liking, remember to click the green 'Save' button before leaving the page.
